Swan Travels – Terms & Conditions

Welcome to Swan Travels. By confirming your booking with us, you agree to comply with the following terms and conditions. Please read them carefully before confirming your reservation.


1. General Booking Terms

Toll Tax & State Tax (One-Way Trips)
Toll Tax, State Tax, or similar government levies are not payable separately to the driver for one-way bookings unless specifically mentioned. Parking charges are excluded and must be paid directly to the driver.

Cab Category Commitment
Bookings are confirmed for a specific cab category (Hatchback / Sedan / SUV / MUV etc.). Swan Travels does not guarantee a specific car model.

Extra Kilometer Charges
If the trip exceeds the agreed kilometer limit, additional charges will be applicable at ₹10 per extra kilometer unless otherwise specified during booking.


2. Driver Waiting Policy

  • Driver will wait for a maximum of 45 minutes from scheduled pickup time.
  • First 15 minutes are complimentary.
  • Waiting beyond 15 minutes will be charged at ₹2 per minute.
  • Failure to report within 45 minutes will result in booking being treated as No-Show and will be non-refundable.

3. Operational Guidelines

  • AC may remain switched off in hilly areas for safety and vehicle performance.
  • Night charges of approximately ₹250 apply between 9:00 PM to 6:00 AM.
  • Pickup may be delayed up to 30 minutes due to traffic or unavoidable circumstances.
  • Passengers must provide complete pickup address to avoid delays.
  • Driver details are shared:
    • Up to 2 hours before departure.
    • Up to 1 hour before departure for urgent bookings.

4. Luggage Policy

  • Hatchback – 1 Bag
  • Sedan – 2 Bags
  • SUV/MUV – 3 Bags

Additional luggage depends on availability and driver approval.


5. Vehicle Allocation & Restrictions

  • Fuel type (Petrol / Diesel / CNG / Electric) will be provided based on availability.
  • Pets are not allowed inside the cab without prior approval.

6. Payments & Billing

  • Remaining trip balance must be paid before or at pickup.
  • Passengers must collect receipts from driver for toll tax, state tax, night charges, or extra kilometer charges.
  • Swan Travels will not issue invoices for driver-collected payments.

7. Service Disruption Disclaimer

Swan Travels shall not be held responsible for delays or cancellation of services due to:

  • Natural disasters
  • Traffic congestion or road blockages
  • Strikes, protests, or political unrest
  • Government restrictions or emergencies

Company liability is limited to refund of booking amount only.


8. Travel Responsibility

Passengers are responsible for planning their travel schedule. Swan Travels will not be liable for missed flights, trains, buses, or other losses caused by delays.


9. Complaint & Support Policy

All complaints or service claims must be reported within 48 hours after trip completion.


10. Passenger Conduct & Safety

  • Passengers must maintain respectful behaviour with drivers.
  • Any vehicle damage caused by passengers will be chargeable.
  • Child seats are not provided unless requested in advance.

11. Cancellation Policy

  • No Cancellation Charge: More than 6 hours before pickup.
  • ₹500 Cancellation Charge: 2 to 6 hours before pickup.
  • ₹1000 Cancellation Charge: After driver reaches pickup location.

12. Company Rights

Swan Travels reserves the right to modify pricing, policies, or cancel bookings as per operational or regulatory requirements.


By confirming your booking with Swan Travels, you acknowledge and agree to all the above terms and conditions.
